We understand that plans can change. This policy outlines the terms for cancellations, modifications, and refunds for bookings made with Uttarakhand Easy Trips. Please read carefully before confirming your booking.

1. Cancellation by Traveler

If you wish to cancel a confirmed booking, you must notify us in writing via email (rudratomar3103@gmail.com) or WhatsApp (+919997488621). The cancellation date is considered as the date we receive your written request, not the date you decide to cancel. Refund amounts are calculated based on the total package cost and the notice period before the scheduled departure date. Please see the refund schedule below.

2. Modification of Booking

If you wish to change your travel dates, destination, or other booking details: - Requests made 15+ days before departure: We will try our best to accommodate changes free of charge, subject to availability - Requests made less than 15 days before departure: A modification fee of up to 10% of the booking value may apply - Changes are subject to availability and any price differences between the original and modified booking - If the modified booking costs more, you will need to pay the difference; if it costs less, the difference will be refunded

3. Cancellation by Uttarakhand Easy Trips

In rare circumstances, we may need to cancel a booking due to: - Insufficient participants for a group tour (minimum group size not met) - Safety concerns (extreme weather, natural disasters, road closures) - Government restrictions or permit cancellations - Non-availability of essential services from our partners In such cases, we will offer you: - A full refund of all amounts paid, OR - An alternative trip of equal or greater value, OR - A credit note valid for 12 months for future bookings We will notify you of any cancellation at the earliest possible opportunity and work with you to find the best solution.

4. Non-Refundable Components

The following charges are non-refundable regardless of cancellation timing: - Train tickets, flight tickets, or helicopter bookings purchased on your behalf - Special permits and entry fees already procured - Visa fees or documentation charges (if applicable) - Travel insurance premiums - Any third-party bookings that have a no-refund policy These will be clearly communicated to you at the time of booking confirmation.

5. Refund Processing

Once a cancellation is confirmed: - Refunds will be processed within 7-10 business days of cancellation confirmation - Refunds will be credited to the original payment method (bank account / UPI) - You will receive an email/WhatsApp confirmation once the refund has been initiated - Bank processing times may add an additional 3-5 business days before the amount reflects in your account - For partial trips (if you leave midway through a tour), refunds will be calculated on a pro-rata basis, minus any non-recoverable costs

6. Force Majeure

In the event of force majeure situations (natural disasters, pandemics, government-imposed lockdowns, road blockages, etc.): - We will work with you to reschedule the trip at no additional cost (subject to availability) - If rescheduling is not possible, a refund will be provided minus any costs already incurred with our service partners - We will provide transparent documentation of any costs that could not be recovered - Credit notes for future travel will be offered as an alternative to partial refunds

7. Travel Insurance

We strongly recommend purchasing comprehensive travel insurance before your trip. Travel insurance can cover: - Trip cancellation and interruption costs - Medical emergencies during travel - Loss of baggage or personal belongings - Helicopter evacuation (especially important for high-altitude destinations) We can assist you with travel insurance recommendations upon request. Please note that we are not an insurance provider and do not bear liability for insurance claims.

8. Disputes

If you disagree with a refund decision: - Please contact us within 15 days of receiving the refund notification - Provide any supporting documentation or reasons for your dispute - Our team will review the case and respond within 7 business days - If a resolution cannot be reached, the matter will be subject to the jurisdiction of courts in India We always strive for fair and transparent resolution and encourage direct communication before pursuing formal dispute mechanisms.
